Differing from the catering industry who were severely hit by the pandemic, the sales of renowned Taipei-based dessert store Le Ruban Patisserie grew 30% by leveraging the power of e-commerce during the pandemic. However, the work of store staff also became increasingly complex due to the increased number of orders both online and offline. According to PwC Taiwan's "2021 Digital Transformation of Taiwan Small and Medium Enterprises (SMEs) Survey," the biggest challenge that SMEs facing in digital transformation is "lack of digital skills and talents (47.1%)". Highlight the importance of talent matching and easy-to-use digital tools. Thanks to the "Introducing SMEs to the Application of Digital Services Program," a joint effort by the Department of Economic Development, Taipei City Government, Le Ruban Pâtisserie was able to solve the challenges faced in its daily operations through Microsoft's Power BI and RevtelTech's e-commerce platform!Stores Spent One Hour Each Day to Process Business Analysis Reports Due to the Complexity of Online/Offline OrdersCOVID-19 has change customer's consumption habits, especially the rise of the "contactless delivery" and "self-serve ordering" in the catering industry, which has forced SMEs to join the food delivery platforms. Also, in "2021 Global Consumer Insight Report" shows that 90% of consumers will still choose digital channels as their main consumption pattern in post-pandemic era.To satisfy the needs of consumers, top 3 digital tools that the catering industry tend to apply are "Data Analysis Platform (37.0%)", "Online Food Ordering and Delivery System (29.9%)", and "After-sales Service Management (25.0%)" according to "2021 Global Consumer Insight Report". Obviously, the digital transformation of the catering industry not only requires the diversification of customer service channels, but also expands the demand for data analysis due to the increase in online channels that generate huge amounts of data.Facing the same challenges, Le Ruban Patisserie set up an online store in 2021 so that customers could directly order and pay a deposit instead of waiting for a personal reply. Nevertheless, such diverse ordering methods have increased the complexity of the operating processes for the store's front-line workers. In fact, the sales orders from the online store and in-store purchases were deposit in different system, causing the store staff to spend over an hour every day to manually integrated the information from the ERP and POS system to comprehend the daily business conditions.A Two-step Transformation: Optimizing the Online Store and Deploying Power BI to Simplify Data AnalyticsThanks to the "Introducing SMEs to the Application of Digital Services Program," a joint effort by the Department of Economic Development, Taipei City Government, Le Ruban Pâtisserie was able to engage in in-depth collaboration with innovative software developer, RevtelTech, to optimize the ordering process of its online store. At the same time, its revenue analytics process was also simplified by WiAdvance, Microsoft's Licensing Solutions Partner, through deploying the Microsoft BI tools.Since setting up its online store, approximately 70% of Le Ruban Patisserie's orders come from its website. To help Le Ruban Patisserie manage orders using more intelligent technology, RevtelTech designed an inventory module with a calendar function so that the store could forecast its daily production capacity. In addition, the system can warn Le Ruban Pâtisserie in case of low inventories. At the same time, the "order and scheduling" functions were optimized so that the system could automatically arrange a schedule based on delivery dates. It also regularly confirms the order status against the ERP system to prevent any orders from becoming lost when large number of orders flood in.To further simplify the work of the staff, so that they do not have to run the ERP and POS systems repeatedly to understand the store's business conditions, WiAdvance assisted Le Ruban Pâtisserie in deploying Microsoft's Power BI tool, which allows the integration and analysis of online and offline order information and conveys business figures using visual charts and graphs. For example, to determine a store's purchasing volume, staff can use a "bar graph" to compare the sales and scrapped volumes of dessert items on a daily basis. Moreover, by analyzing the expected pickup volume at each store, managers can more easily distribute human resources since Le Ruban Pâtisserie also offers in-store pickups. Not only did the digital transformation optimize Le Ruban Patisserie's work flow, it also helped the dessert store visualize the management decisions that could be made behind each piece of operational data. For instance, by using Power BI to integrate the stores' orders and sales, Le Ruban Pâtisserie will be able to use the system to make sales forecasts based on information such as temperature and holidays going forward. RevtelTech has also observed that when an online store becomes one's major retail channel, partnerships between enterprises can also become more systematic. Currently it is developing an e-voucher system to increase the flexibility and convenience of use for corporate customers! For SMEs who want to apply for the "Introducing SMEs to the Application of Digital Services Program," you can search the official website (https://www.stbear.com.tw/WiAdvance/). 2021 saw the highest sales volume of personal computers in a decade. The new surge in demand from government institutions, enterprises, and schools due to working from home and distance learning reach a new high. The consumer electronics retail chain Dzone 3C had planned to satisfy the needs of online shopping through its online stores. Nevertheless, the existing labor-intensive documentation process frequently caused the store unable to control its inventory in a real-time basis. Therefore, The Department of Economic Development, Taipei City Government jointly mapped out the "Introducing Small and Medium Enterprises (SMEs) to the Application of Digital Services Program," which assists Dzone 3C to quickly solve operational challenges through Microsoft's Power BI and AI sales forecast!Challenges in Traditional Retailers Striving to Become Chain Operations: Optimizing Purchase, Sales, and Inventory ManagementSMEs in Taiwan are facing severe challenges under the epidemic. As stated by Economic Daily News "The Impact of COVID-19 on SMEs survey," more than 80% of SMEs experienced a decline in revenue during the epidemic. Therefore, it is necessary to accelerate the digital transformation of enterprises. Besides, in PwC "Digital Transformation of SMEs in Taiwan Survey" reveals that "the top three goals the companies hope to achieve through digital transformation are 'expanding market growth (47.3%)', 'reducing operating costs (40.7%)', and 'better customer experience (40.6%)'. "Also, in the same survey points out "the top three digital tools expected by the retail industry in the next three years are 'data analysis platform (57.9%)', 'integrated service and logistics system (55.7%)', and 'sales and customer relationship management system (51.7%)'. " Indicating the retail industry is more "data-centric" to optimize the customer service and company's operating model.Aimed to improve the customer service, Dzone developed the e-commerce platforms to expand sales channels. However, they found out it was unable to immediately grasp the purchase, sales, and inventory status of its products since the inventory data and POS system could not be integrated. It could only manually conduct inventories on a regularly basis, and sometimes missed out restocking opportunities due to erroneous data. This led the company to be out of merchandise available for sales during promotional campaigns, and these situations became more apparent as it moved toward chain operations.Key Factors to Improve Operation Management: From Data Compilation to Data Analysis through Power BI and AI Sales ForecastOver many years, the Department of Economic Development of the Taipei City Government has been committed to guiding SMEs in digital transformation. Furthermore, in 2022 it establishes the "Introducing SMEs to the Application of Digital Services Program," which calls on WiAdvance and 27 information service providers to assist SMEs with their management problems and develop innovative business models through deploying digital service applications.Through this program, Dzone 3C began its deployment of IT services, including Power BI and AI sales forecasts within its chain stores to solve its inventory management issues. First of all, by compiling the information from multiple systems, including purchase, sales, and inventory and POS in the stores, managers can process all messages and information from one interface rather than opening various reports to compare information or repeatedly check for the completeness of reports. Also, managers can use Microsoft's Power BI to generate visual graphics and charts, which are conveyed in bar, line, and pie charts rather than traditional number-heavy reports. This allows managers to efficiently understand their business status. The second application after data compilation is to optimize the stores' purchase, sales, and inventory management via AI sales forecast. By learning about past sales records and engaging in data analytics, possible sales figures can be calculated, allowing store managers to use AI in their decision-making to get a jump start on restocking rather than relying on intuition. At the same time, the stores were also assisted in integrating Microsoft Power Apps tools so that store managers could perform real-time queries on the inventory data of each store from a mobile device. They can also receive restocking notices when the inventory is low and launch promotional campaigns to increase turnover when the inventory is moving slowly.Following the customized transformational coaching of the "Introducing SMEs to the Application of Digital Services Program," Dzone 3C successfully overcame various pain points. If SMEs want to apply for the program, click the official website link (https://www.stbear.com.tw/WiAdvance/)for more information.Facing the difficulties of inventory management issues, Dzone 3C joined "Introducing SMEs to the Application of Digital Services Program" to accelerate the progress of digital transformation.(Department of Economic Development, Taipei City Government Advertisement)
